Using DMS systems efficiently: the marking makes the difference

Document management systems simplify many business processes – with the right infrastructure in place. Mobile handheld printers by the marking specialist REINER allow for the successful digitisation of all documents through individual and machine-readable markings.

The digitalisation of office and administrative processes is progressing. According to the representative study “Bitkom Digital Office Index 2021”, less than half of the companies surveyed digitise their documents. “However, if you take a closer look, documents and records are often scanned, but still processed and filed in paper form. A full transition is avoided”, Gerolf Heldmaier, Sales Manager at Ernst REINER, analyses. “Due to their versatility, document management systems (DMS) are ideally suited for the digital administration and archiving of business-relevant documents. The application is not only beneficial for large companies, but medium-sized and small companies also benefit enormously. The prerequisite is a suitable infrastructure and that the documents to be processed are marked in such a way that they can be automatically and correctly assigned. Mobile marking devices by REINER have proven ideal for this purpose. They provide for reliable marking and consequently support the DMS in a highly efficient way.”

Simplified processing, lower time investment

The basis for a functioning DMS is the correct recording of all documents and this is where REINER’s mobile inkjets come in. You print the digitally readable barcodes, QR codes or Data Matrix codes directly onto the respective document with just a flick of your wrist. Direct printing eliminates the need for other markings such as labels and can be optimally placed in a way that does not obscure the content of the document.

The codes serve as unique document identifiers and, as a result, the process of digitisation and archiving is considerably accelerated. The required codes can be freely designed and variably pre-set as needed on the mobile printers (date, time, numbering machine).

At the same time, the attributes contained within the code automatically ensure the correct allocation in the system. This way, authorised departments get faster access to relevant information and important data can be retrieved at any time.
