In close cooperation between the C.F. Maier Group, LIB-IT DMS GmbH, Pleidelsheim (Germany) and SAP® specialists from Solutive GmbH, Neulussheim (Germany) an interface was developed that met the customer's requirements and the SAP-Interface Certification standards.
At C.F. Maier incoming invoices are scanned by using the software AutoClick from One Click Solutions (Germany). All invoice header and position data are captured by a simple mouse click on the displayed items on a screen. The invoice data is then automatically archived and full-text indexed to FILERO, where the revision-proof invoice scan is held in an individual structure that has been completely defined according to the customer’s needs.
From FILERO the invoice data is then automatically transferred to SAP® where they are booked. In return, the bidirectional interface sends success or failure information and other SAP® data back to FILERO. This is the interface process that Solutive GmbH then submitted for SAP/R3® Certification with the product FILERO ArchiveMe ERP.
The certification of the ABAP interface software (Advanced Business Application Programming) for the product FILERO ArchiveMe ERP 1.0 for the integration with SAP® NetWeaver 7.01 was SAP Certified at the end of November 2012.
Michael Rasbach, Head of IT at C.F. Maier stated that this has been an extremely successful project: "The lead times of incoming invoices has been reduced from several weeks to a maximum two days.”
By using the Enterprise Information Management System FILERO C.F. Maier has been able to pursue yet another goal - to archive SAP® documents of all kinds in a full-text searchable indexed archive. To achieve this, the master data of vendors and customers are transferred automatically from SAP/R3® to FILERO by using the iDoc format. Based upon SAP® ArchiveLink all output documents (for example order confirmations, delivery notes and invoices) are transferred to FILERO and stored and indexed in a custom specific archiving structure.
"With the bidirectional data exchange between SAP/R3® and FILERO, we have found the best combination for the effective handling of input and output documents," states Michael Rasbach.
But not only that - the expansion of FILERO to be the central storage, archiving and retrieval system for all C.F. Maier company-relevant information in structured and unstructured form continues. "Finally one can say that we have not only bought an archiving system by implementing FILERO, but rather a flexible, expandable information management system, in which we can, for example, easily also build a CRM system." explains Michael Rasbach.
